Privacy Policy

3. Data Collection on Our Website

3.1 Server Log Files

Our hosting provider automatically collects and stores information in server log files, which your browser transmits to us. These include:

  • Browser type and version
  • Operating system
  • Referrer URL
  • Hostname of the accessing computer
  • Time of the server request
  • IP address

This data is not combined with other data sources. Processing is based on Art. 6(1)(f) GDPR, covering legitimate interests in the security and stability of our website.

3.2 Contact Form

When you contact us via our contact form, the data you provide (e.g., name, email address, message content) will be stored for processing your inquiry and for follow-up questions. We will not share this data without your consent.

Legal basis: Art. 6(1)(b) GDPR if your inquiry relates to the performance of a contract, otherwise Art. 6(1)(f) GDPR based on our legitimate interest in effectively handling inquiries.

Data remains with us until you request deletion, revoke your consent, or the purpose for storage no longer applies. Mandatory statutory retention periods remain unaffected.

3.3 Contact via WhatsApp

Our website offers the option to contact us via a WhatsApp button. The button itself does not load any content from WhatsApp or Meta and does not set any cookies. Only when you actively click "send" are you redirected to WhatsApp and a chat with us is opened.

When communicating via WhatsApp, the data you transmit (in particular your mobile number, your profile name, the message content, and metadata such as the time of the message) is processed by the WhatsApp service. The provider is WhatsApp Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland, a company of the Meta group. This may involve a transfer of data to the USA and other third countries. We have no influence over the nature and scope of the data processing carried out by WhatsApp.

Legal basis is Art. 6(1)(a) GDPR (consent through the contact actively initiated by you) as well as Art. 6(1)(b) and (f) GDPR insofar as your inquiry serves the initiation or performance of a contract or our legitimate interest in efficient customer communication. If you wish to avoid this data processing, please use our contact form or the contact options listed in our legal notice.

3.4 Online applications

When you apply through our careers page, we process your name, email address, selected position, explanation and uploaded CV to review your application and contact you. Your application is sent to our internal email inbox. The file is not stored as publicly accessible website content.

We use your information only for the application process. After it ends, it is deleted unless legal obligations or legitimate retention reasons apply.

4. Cookies

Cookies are small text files stored on your device by your browser. Our website only sets technically necessary cookies. We do not use tracking, analytics or advertising cookies.

  • rebotnix-lang (1 year): stores your language choice once you switch the language.
  • rebotnix-consent (180 days): stores your decision from the cookie notice.

Storing these cookies is permitted without consent under Section 25(2) no. 2 TDDDG (German Telecommunications Digital Services Data Protection Act), because they are required for functions you have expressly requested. The related processing is based on Art. 6(1)(f) GDPR. You can delete or block cookies in your browser at any time.

In addition to cookies, the website uses your browser's session storage in one place: when you fill in a request form in a blog post, your draft is kept there so that it is not lost when the page reloads. It is deleted when you close the browser tab and is not transferred to us unless you submit the form. In password-protected areas, a session cookie is also set for the login.

You can change or withdraw your decision from the cookie notice at any time via the "Cookie settings" link at the bottom of each page.

4.1 YouTube videos

Some pages embed videos from YouTube. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. We use the privacy-enhanced mode (youtube-nocookie.com). The preview images are hosted on our own server. A connection to YouTube is only established when you choose "Accept all" in the cookie notice or expressly load a video.

When a video is loaded, your IP address and information about your browser and the page you are viewing are transferred to Google. Google may set cookies or use comparable technologies and may also process data in the USA. If you are logged in to YouTube or Google, Google can link the request to your account. We have no influence on further processing by Google.

Google LLC is certified under the EU-US Data Privacy Framework. The underlying adequacy decision of the European Commission is in force but is under judicial review. Please note that in the USA, public authorities may access your data and you may have less legal protection there than in the EU. By giving your consent, you also agree to this transfer (Art. 49(1)(a) GDPR). In all other respects the legal basis is your consent under Art. 6(1)(a) GDPR and Section 25(1) TDDDG. You can withdraw your consent at any time with effect for the future via the "Cookie settings" link at the bottom of each page. Further information: policies.google.com/privacy.

5. Rights of Data Subjects

Under the GDPR, you have the following rights regarding your personal data:

  • Right of access (Art. 15 GDPR)
  • Right to rectification (Art. 16 GDPR)
  • Right to erasure (Art. 17 GDPR)
  • Right to restriction of processing (Art. 18 GDPR)
  • Right to data portability (Art. 20 GDPR)
  • Right to object (Art. 21 GDPR)
  • Right to withdraw consent (Art. 7(3) GDPR)
  • Right to lodge a complaint (Art. 77 GDPR). The competent supervisory authority is the data protection authority of North Rhine-Westphalia (LDI NRW).

6. Data Retention

We store your personal data only for as long as necessary for the purposes for which it was collected, or as required by statutory retention obligations.

  • Server log data: deleted after 30 days
  • Contact form data: retained until the inquiry is fully resolved, then deleted unless statutory retention periods apply
  • Contract-related data: retained for the duration of statutory retention periods (typically 6–10 years under German commercial and tax law, §§ 147 AO, 257 HGB)

7. Data Security

We use industry-standard SSL/TLS encryption for data transmission on our website and employ appropriate technical and organizational measures to protect your personal data against accidental or intentional manipulation, loss, destruction, or unauthorized access.

We reserve the right to update this Privacy Policy to reflect changes in our data practices or applicable legal requirements. The current version is always available on this page.
